What is a wedding day coordinator (and why you should consider hiring one)

I sometimes get asked if it’s worth hiring a coordinator, and I can’t say yes fast enough. These vendors are awesome at what they do and can completely change how you experience your wedding! Because it’s a relatively new offering, I asked Ashley from Fiore Fine Events to breakdown what a wedding coordinator is, what their responsibilities are, and what they bring to the table!

Can you imagine hosting the most elaborate party, spending hours and hours working on it, investing large amounts of money, time and energy into planning it, and then not even being able to attend it?

This is how couples can feel when they look back on their wedding day. They might have clips of the day that they remember, but they often look back feeling as if they weren’t really there.

If you have been the “planner” through the whole process, it’s difficult to suddenly turn that off on the big day. Family and friends may step in to help with this and that, but rarely will any of them know the details as well as you nor will they have the day’s schedule and all the vendor arrival times memorized.

When you hire a Coordinator, all of this stress and responsibility will be lifted off of you, allowing you to truly be the guest of honour and be fully present at your own wedding. It also allows family, bridal party members, and guests to be present and engaged in celebrating you, instead of having to step away to handle logistics.

Month-of / Day-of coordinating is a specialized service that manages the fine details and execution of your wedding day. You will have a professional step in to ensure your vision is perfectly executed before you, while also managing any and all unforeseen issues that may arise. From cueing the ceremony and reception music, to answering vendor questions, ensuring your décor is moved from the ceremony to the reception space, fixing the little issues that unexpectedly come up – these are all the types of things that a Coordinator will take care of.

4-6 weeks prior to your wedding date, a Coordinator will meet with you in person to discuss all of your wedding day details, including schedules and vendor responsibilities, and help you identify any specifics that may have been overlooked. If they have been hired for “month-of” coordinating, they will take over all vendor communication after this meeting as well. Most Coordinators attend and facilitate the rehearsal, while confirming all of the final details, allowing you to spend the eve of your wedding resting and feeling confident that your dream day will not just be a dream, but will become a real life event that you can look back on with vivid memories (not just from looking at your gorgeous photos).
